Google Tasks is a free task management tool built by Google and integrated into Google Workspace. It helps users capture, organize, and track to-dos across Gmail, Calendar, Chat, and Docs. It solves the problem of scattered tasks by unifying all to-dos in one synced place.
Features
- Google Workspace Integration: Tasks appear inside Gmail, Google Calendar, Google Chat, and Google Docs. Users can convert emails into tasks directly from Gmail. Tasks assigned in Docs auto-populate the assignee's task list.
- Calendar Time Blocking: Users can reserve a calendar slot tied to a specific task. This launched in November 2025 for all Workspace accounts. The task stays on the list until the user marks it complete.
- Subtasks and Multiple Lists: Users can break large tasks into smaller subtasks. Separate lists can be created for different projects, clients, or topics. Tasks can be starred to flag priority items for quick access.
- Recurring Reminders and Deadlines: Tasks support daily, weekly, or monthly repeat schedules. A deadline date field was added in late 2025 for the Android app. Nudges continue to prompt users until a task is checked off.
- Cross-Device Sync and API Access: Tasks sync automatically across web, iOS, and Android when signed into the same Google Account. Developers can access, edit, and delete tasks via the Google Tasks API. Google Keep reminders now migrate directly into Tasks as well.
Use Cases
- For Remote Teams: Task assignment inside Google Chat spaces lets managers set deadlines and track progress without switching tools.
- For Individual Professionals: Converting Gmail emails into tasks prevents important follow-ups from being lost in a crowded inbox.
- For Students: Multiple task lists and subtasks help break down assignments into smaller steps with due date reminders.
- For Freelancers: Separate client lists combined with Calendar time blocking help manage multiple projects in one free tool.
Google Tasks is a lightweight, free tool that works best for users already inside the Google Workspace ecosystem. It lacks advanced features like Gantt charts, detailed analytics, or multi-user task assignment found in tools like Asana or Trello.
